How to Order Graduation Leis for an Entire Class (2027 Planning Guide)

Buying one graduation lei is a five-minute decision. Ordering for an entire graduating class is a procurement project with a deadline that cannot move: ceremony day.

Step 1: Fix Your Quantity Before Anything Else

Every other decision depends on this number. Get it wrong and you either pay rush fees or hand out leftovers.

• Start from confirmed graduate count, not enrollment. Enrollment always overstates.
• Add 5-8% buffer. Late transfers, damaged pieces, staff who want one, and the photos nobody planned for.
• Decide if faculty are included. A 400-student class with 40 staff is a 440-piece order, not 400.

A practical example: 380 confirmed graduates + 6% buffer + 35 faculty = 438 pieces. Round to 450.

Step 2: Understand How Quantity Changes Your Price

Notice what happens at 501. If your count lands at 480, ordering 501 costs less in total than ordering 480. Always check whether the next tier is within reach before you finalize.

Step 3: Lock Your Colors Early

Color is the decision that most often delays class orders. Two paths:

Standard combinations ship faster and cost less. We stock six: pink/white, green/white/red, orange/white/blue, light blue/white, maroon/white, and blue/yellow. If one matches your school closely enough, take it.

Custom weaving matches your exact school colors in any 2-3 color combination. It adds sampling time but produces the result that looks right in photographs. If your school colors are distinctive, this is worth the extra two weeks.

Bring your school's official color codes to the conversation. "Navy and gold" means a dozen different things; a hex value or Pantone reference means one.

Step 4: Work Backwards From Ceremony Day

This is where most class orders go wrong. The timeline is not negotiable, so build it in reverse:

For a May or June ceremony, that means beginning in January or February. Orders that start in March can still make it by air freight, but the freight cost erodes the savings that made bulk ordering worthwhile.

Step 5: Always Approve a Physical Sample

Never approve a class order from a photo. Screen colors lie, and ribbon texture does not photograph accurately.

This step costs one week and prevents the single most expensive mistake in class ordering: 450 pieces in a color that is almost right.

Step 6: Structure the Budget Conversation

Class lei orders are usually funded one of three ways, and each changes how you order:

• School budget line - needs a formal quote and invoice, often with a purchase order number. Ask for these upfront.
• PTA fundraiser - the lei is sold to families at a markup. At $0.75 landed cost and a $8-12 retail price, the margin funds other class activities.
• Family pre-order - collect orders and payment first, then place a single consolidated factory order. Lowest financial risk, but requires a firm cutoff date.

Common Mistakes We See Every Season

1. Ordering too late. By far the most common. March inquiries for May ceremonies force air freight.
2. Skipping the sample. Saves a week, risks the entire order.
3. Ignoring the tier boundary. Ordering 490 instead of 501 and paying more in total.
4. No buffer stock. There is always someone who needs a replacement on ceremony morning.
5. Vague color specification. "Our school blue" is not a manufacturing instruction.

• Quantity (with buffer already added)
• Style: standard braid, honor wreath with year print, or full set with cord and sash
• School colors, ideally with hex or Pantone codes
