When to Order Graduation Leis: Lead Time Calendar for May and June Ceremonies
Share
The single most expensive mistake in graduation lei procurement is not choosing the wrong supplier or the wrong color. It is starting in March for a May ceremony.
Every stage of this supply chain has a fixed minimum duration. Miss the window and you either pay air freight - which can exceed the cost of the goods - or you do not have leis on ceremony day. Here is the calendar.
The Full Timeline, Reversed
| Stage | Duration | Can It Compress? |
|---|---|---|
| Quote and design confirmation | 3-7 days | Yes, with complete information upfront |
| Physical sample production | 7 days | Barely - this is already fast |
| Your sample review and approval | 3-7 days | Yes, if the decision-maker is ready |
| Bulk production | 15-30 days | Somewhat, at a premium |
| Sea freight to US | 4-6 weeks | No - or switch to air at high cost |
| Customs clearance | 3-10 days | No |
| Domestic delivery | 2-5 days | Marginally |
| Safety buffer | 2 weeks | Only by accepting risk |
Add it up: roughly 4 to 5 months from first contact to leis in hand, using sea freight.
Month-by-Month for a May Ceremony
| Month | What Should Be Happening |
|---|---|
| November - December | Budget approval, graduate count estimate, initial quotes |
| January | Confirm design and colors, order sample |
| Late January | Approve sample, place bulk order, pay deposit |
| February | Production runs |
| Early March | Goods ship by sea |
| Mid-April | Arrival, customs, delivery to school |
| Late April | Count verification, distribution planning |
| May | Ceremony |
For a June ceremony, shift everything one month later.
What Each Delay Actually Costs
Starting in January instead of November: Still fine. You lose the buffer but the timeline holds.
Starting in February: Tight. You likely skip the sample or compress your review. Sea freight still works if nothing goes wrong.
Starting in March: Sea freight is off the table. You need air freight, which on a 500-piece order can add $400-800 - potentially more than the goods cost. The order is still possible; the economics change substantially.
Starting in April: Express air only, expedited production, premium pricing throughout. Possible for small quantities, difficult for large ones.
Starting in May: For a May ceremony, only stock items in small quantities shipped express. Custom is not achievable.
Why the Off-Season Is the Right Time to Order
Two reasons beyond freight.
Capacity. Production lines fill up as graduation season approaches. An order placed in November has the line largely to itself. An order placed in March competes with everyone else's rush.
Decision quality. When you have time, you order a sample, hold it against your school's gown fabric, and change your mind if the color is off. When you are rushed, you approve from a photograph and hope.
The Case for Ordering Two Years at Once
Leis do not expire. They are polyester ribbon in a poly bag.
If your graduate count is stable year over year, ordering two years together does three things: crosses into a better price tier, eliminates next year's timeline risk entirely, and halves your freight cost per unit.
The math is often compelling. 250 pieces per year at $0.91 is $227.50 annually plus freight twice. 500 pieces once at $0.75 is $375 plus freight once - covering two years at a lower total cost.
If You Are Already Late
It is not necessarily over. Options in order of preference:
- Switch to stock colors. Eliminates sample and custom setup time. Our six standard combinations are ready to produce immediately.
- Reduce quantity and prioritize. Leis for graduates only, not faculty. Order the remainder later.
- Split the shipment. Air freight a portion for the ceremony, sea freight the rest for next year.
- Accept air freight. Get a real quote before assuming it is unaffordable - on small quantities it may be manageable.
Tell us your ceremony date honestly, even if it is close. We will tell you what is actually achievable rather than taking an order we cannot deliver on time.
Start the Clock
To get a timeline specific to your ceremony, we need your date, quantity, and whether you want stock or custom colors.
